The Executive Assistant provides executive-level assistance to the Chief Operating Officer (COO) in a wide array of administrative and staff support functions.
Responsible for directing, planning and organizing functions necessary to support the Operations Division staff and other Departments and Divisions as directed by Manager, Administrative Services.
Supervises administrative staff.
Handle confidential issues daily.
ESSENTIAL JOB FUNCTIONS: Remain flexible, proactive and efficient.
Exercise good judgement in a fast-paced environment with frequent interruptions, whle maintaining a balance between priorities.
Manage and supervise direct reports that provide administrative support to a variety of Departments and Divisions.
Manage Division Leaders’ extremely active calendar, Email and tasks as required.
Perform delegate duties for Leader, as directed.
Partner with the Finance division to assist in coordination of the Operations Division’s annual budget and monthly reforecast.
Includes performing data analysis and assisting Division Cost Center Managers in accurately creating budgets and reporting expenses and forecasts.
Independently and proactively draft communications, reports and presentations for Division Leader.
Support our member cooperatives by maintaining and distributing changes to the Member Cooperative Procedures and through the coordination of the Policy, Procedures & System Operations (PP&SO) Committee.
Coordinate meetings/seminars with outside organizations (University of Minnesota Center for Electric Energy).
Occasionally coordinate travel plans for COO and others, including making hotel reservations, conference reservations, etc.
Participate in preparation of annual Business Continuity Plan (BCP) drill; participate in the drill.
Responsible for developing and relaying communications via the Everbridge system during emergencies and special events such as the Business Continuity Plan (BCP) drill.
Responsible for instructing others and coordination of use of Everbridge in their work areas when needed (e.
g.
, communication with crews).
Perform other duties as assigned.
MINIMUM QUALIFICATIONS: Education & Experience: Associate degree plus five (5) years’ progressively responsible experience.
Will consider equivalent combination of education and experience.
Skills: Strong written and verbal communication skills; mathematical, analytical and organizational skills with an attention to detail.
Computer literacy in Microsoft Office suite of products and ability to master company specific applications.
Experience and proficiency in budget development and financial analysis or a demonstrated ability to learn.
Highly organized and efficient at managing tasks.
