Administrative Assistant - Shine

We are now accepting applications for an Administrative Assistant - Shine.
Summary:
The Administrative Assistant creates a welcoming and professional experience for all clients, staff, and guests who enter the Chileda Shine building.
The position also provides administrative support and assistance to the Shine management team, including client and staff scheduling across all three service lines supported by the Chileda Shine program.
Status Info:
This is a part-time position with a maximum work week of 26 hours.
Primarily day hours with occasional weekends and evenings as needed.
Education Requirements:
High School Diploma is required.
Skills:
Must be proficient in PC skills, including Microsoft Office Suite.
Must be highly organized, able to work with confidential information, and adapt to a fast-paced office with constant change.
Scheduling experience preferred.
Requires high analytical skills and ability to learn scheduling software.
Effective and professional written and verbal communication skills.
Able to work well as part of a team and succeed independently.
Job Duties Include:
Manage the Chileda Shine lobby area, including maintaining a clean and welcoming reception area and answering phones courteously and professionally.
Greet and direct all visitors, including parents of clients, drivers, vendors, and other guests.
Under the direction of the Chileda Shine Behavior Solutions Manager and Chileda Shine Mental Health Manager, coordinate coverage across all shifts, clients, staff and company vehicles.

Work collaboratively with the director and manager(s) to develop and coordinate future staffing patterns while staying within the budget.
Develop, maintain, and update the master schedule for all Chileda Shine Behavior Technicians, Behavior Consultants, and Mental Health Technicians assigned to work on all shifts.
Develop and maintain a scheduling system with consistent staff assigned to clients based on individual strengths and skills in compliance with Chileda policy.
Develop a system for tracking what staff have been asked to work and when, including staff response.
Collaborate with others to review and ensure the accuracy of schedules.
Adjust schedules to reflect training, meetings, etc.
, and ensure these are documented and communicated correctly.
Review Time-off requests and communicate with the necessary manager.
