The Grants Specialist will collaborate with the Grant Program Manager to handle a diverse range of grant application, compliance, and administrative tasks with minimal oversight.
This includes the planning and execution of activities encompassing schedule coordination, data gathering, benchmarking, deadline adherence, report creation, and financial and budgetary analysis to achieve the objectives of grants application and compliance management.
This position will conduct regular evaluations of financial and project management components to uphold compliance with the granted funds.
Additionally, this position is responsible for maintaining detailed documentation and ensuring that expenses adhere to federal guidelines.
Implement and validate the efficacy of controls to ensure the grant's adherence to 2 CFR 200 and other pertinent grant regulations.
Hiring Salary Range: $66,000 - $82,000 Actual compensation offer to candidate may vary based upon work experience, education, and/or skill level.
ESSENTIAL JOB FUNCTIONS: Maintain consistent communication with the Grant Program Manager to ensure alignment in grant management procedures and objectives.
Participate in grant management planning by proactively researching potential grants, conducting assessments, and analyzing grant opportunities.
Handle the submission of reports to funding agencies, track the success of grant proposals, and monitor grant progress.
Lead the information gathering for grant reports and maintain direct engagement with stakeholders to update the grant project pipeline.
Manage the award budget allocated to projects, ensuring that all funds are used in accordance with the operational guidelines stipulated in the grant's terms and conditions.
Support and assist the Grant Program Manager with all facets of managing the grants application, compliance and administration process.
Organize meetings with stakeholders as required to advance the work of the department.
Create presentation materials for those meetings and assist with utilization of presentation technology and SharePoint sites.
Coordinating the completion and assembly of grant documents, including the award contract documents as needed and the collection of Executive signatures on legally binding documents.
Attend internal grant proposal meetings and coordinate activities as needed.
Gather input from grant project team members to compile proposals in a format that can be analyzed against the Funding Opportunity Announcements or Notice of Intent.
Receive, organize and maintain all grant affiliated documents and subdivide specific documents for record retention, distribution to various Dairyland departments and team members for review.
Monitor access to these documents to ensure appropriate confidentiality is maintained.
Participate in Grant Management Monitoring and Control activities, including tracking grant metrics, monitoring proposal and active grant statuses, deadlines, and understanding grant requirements.
Coordinate and monitor necessary documentation and producing time-sensitive reports as needed to demonstrate compliance with grant requirements.
Monitor critical schedules and benchmarks of activities for grant application and compliance management functions and engage as necessary to ensure that those deadlines, often legally binding by award contracts, are satisfied.
Build relationships with team members in all other departments within Dairyland and obtain assistance from those departments as necessary to complete grant proposal and scope documents, retrieve information needed for grant applications, or as otherwise needed to advance any other goals of the grants application and compliance processes.
Engage in professional communications with external clients or stakeholders as necessary to assist in completing proposals, grant applications, post award activities, and grant close out.
Collaborate closely with the Project Management Office (PMO), Financial, and Accounting departments to enhance, establish, or revise processes as required.
Work alongside project managers and financial and accounting teams to ensure compliance with 2 CFR 200 award requirements.
Communicate updates and address inquiries.
Maintain a collaborative relationship to ensure funding is accurately tracked and reported in accordance with the Grant Program Manager's directives.
Perform other duties as assigned.
MINIMUM QUALIFICATIONS: Education & Experience: Bachelor's Degree in Business Administration, Public Administration, Legal Studies, or a similar field is required, along with at least three years of experience in grant acquisition, administration, and compliance or a related field.
An equivalent combination of education and experience will be considered.
Knowledge/Skills/Abilities: Excellent oral and written communication skills.
Ability to gather data and assist in preparing presentations for both internal and external audiences.
Familiar with utility operations functions and ability to quickly become familiar with grant application, compliance and administration processes.
Must be highly organized and be able to work with limited or no supervision in variable paced/variable pressure setting with hard deadlines.
Possess financial analytical skills and general knowledge of accounting practices and monthly operational budget development, verification and reporting.
Ability to reach out across all departments within Dairyland and interact with those departments in order to complete grants application, compliance and administration tasks.
Project Management a plus.
