Summary of Position: Performs advanced and/or complex administrative and office support activities for the assigned division/department to facilitate the efficient operation of the department/organization.
May resolve issues within the scope of position to ensure the department runs smoothly in the absence of the department manager.
Provides excellent customer service while maintaining FERPA (Family Educational Rights and Privacy Act) and HIPPA (Health Insurance Portability Accountability Act) regulations.
Support and provide backup for other office personnel.
May process, verify, and maintain personal and confidential information.
This position works to promote social justice within the division and the larger academic institution.
Essential Functions 1.
Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect.
Regular attendance is required.
2.
Perform office function’s which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
3.
Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
4.
Student Success is the cornerstone of Western’s culture and the college may assign employees as needed to other areas or additional duties to foster this success.

Administrative support and customer service - Supporting Action/Task May Include: Serve as an initial customer service contact; assess individual needs and provide individual/direct assistance to students, staff, partners, internal and external stakeholders by phone email and in-person Assist with textbook ordering, work with ecampus and campus shop to troubleshoot student issues; inventory and distribute book deliveries.
Provide personal communication to prospective students applying to the college by collecting documents, providing clarification on forms, support student through application process Deliver timely and accurate information to prospective students, applicants and staff through inquiries via phone, email, website, and in person; Assist students and prospects with questions, class requirements, admissions, class schedules, registration, orientation, financial aid and other student service-related matters, process student ID’s and parking permits Collect and process payments and fees for students/stakeholders 6.
Technology Support - Supporting Action/Task May Include: Monitor, maintain, analyze data and process required reporting Provide computer and technology support to students with questions, password rest, add money to print accounts, troubleshoot issues with all areas of college 7.
Events, Individual and Group Tours - Supporting Action/Task May Include: Collaborate with Campus Coordinator, college staff and departments to implement special projects and events that may arise throughout the year; assist in preparing events; marketing and provide support at events 8.
Campus/Department Support - Supporting Action/Task May Include: Responsible for opening/closing building; collaborate with Western security, campus coordinator and local law enforcement for any safety and security issues in the building; Must be able to work in building alone Create and update student records in Power Campus and CRM Work with Campus Coordinator to prepare the day-to-day schedule of campus Maintain building schedules after initial preparation.
Schedule appointments for students/inquiries with various student services personnel/confirm with students.
Train/schedule/assign duties to temporary clerical staff and oversee student employees and/or work study employees where applicable.
Qualifications Minimum Qualifications: Associate Degree in related field OR Education in related field combined with appropriate occupational experience totaling 2 yrs.
OR Related occupational experience totaling 2 yrs.
Special Instructions/About Western This position reports to: Tomah RLC Campus Coordinator Starting annual/hourly salary range based on education and experience: $22.
85 - $27.
93 This position would include competitive salary, along with a wide variety of benefits available to full-time Western Technical College Employees.
